We do not intentionally collect sensitive personal information such as Social Security numbers, health records, or financial account numbers. Please do not include such information in your Client Data without discussing it with us first.

We do not use your business-specific Client Data to train AI models that serve other clients without your written consent.

How We Share Information

We do not sell your personal information or Client Data to third parties. We share information only in the following limited circumstances:

  • Service Providers: Third-party processors (such as GoHighLevel, telephony providers, and AI infrastructure providers) who help us deliver the Services, subject to appropriate data protection agreements.
  • Legal Requirements: When required by law, court order, or government authority, or to protect our legal rights.
  • Business Transfers: In connection with a merger, acquisition, or sale of our business, with notice to you.
  • With Your Consent: For any other purpose with your explicit consent.

Data Security

We implement commercially reasonable security measures to protect your information, including:

  • Encrypted data transmission (TLS/SSL)
  • Access controls and authentication requirements
  • Regular security reviews of our systems and practices
  • Limited employee access to Client Data on a need-to-know basis

No security system is perfect. In the event of a data breach that affects your information, we will notify you in accordance with applicable Virginia law and take prompt steps to address the breach.

Data Retention

We retain your information for as long as necessary to provide the Services and comply with our legal obligations:

  • Active Clients: We retain Client Data for the duration of the Agreement.
  • After Termination: Client Data is retained for 90 days following termination, during which you may request an export. After 90 days, data is deleted or anonymized unless we are required by law to retain it.
  • Call Recordings & Transcripts: Retained per your Service Order terms; typically 30–90 days unless you request longer retention.
  • Financial Records: Retained for the period required by applicable law (typically 7 years).

Our primary technology partners and sub-processors include:

  • GoHighLevel — CRM, website, and marketing automation platform
  • Telephony Providers — For AI voice agent calling infrastructure
  • AI Infrastructure Providers — For natural language processing capabilities
  • Payment Processors — For secure billing and payment handling

Each of these providers has their own privacy policies and security practices. We select sub-processors that meet our security standards and enter into appropriate data protection agreements with them. A current list of sub-processors is available upon request.

Our website may contain links to third-party websites. We are not responsible for the privacy practices of those websites.

AI Services & Call Recording

Our AI voice agent services may record and transcribe telephone calls. This section explains how this data is handled.

Our Role

We act as a data processor on behalf of our clients. Our clients (the businesses we serve) are responsible for providing legally required disclosures to their customers and obtaining consent for call recording under applicable federal and Virginia law.

What We Do With Recordings

  • Store recordings and transcripts securely in your account for your review
  • Use aggregate, anonymized call data to improve AI performance
  • Provide transcripts and analytics to help you optimize your AI systems

AI-Generated Interactions

Interactions with our AI chatbots and voice agents are logged and may be reviewed by our team for quality assurance and system improvement. End Users should be aware they are interacting with an automated AI system — our systems include appropriate disclosures.

Children's Privacy

Our Services are intended for businesses and adults (18+). We do not knowingly collect personal information from children under 13. If we become aware that we have collected information from a child under 13, we will delete it promptly. If you believe we have inadvertently collected such information, please contact us immediately.
